Cancellation Policy
Please provide at least 24 hours’ notice if you need to cancel or reschedule your appointment. You can modify your appointment by signing onto the client portal or by contacting your therapist directly. If you are trying to cancel your appointment with less than 24 hours; notice, you will not be able to cancel on OWL Practice. Please reach out to your therapist to avoid a missed appointment fee.
Late cancellations will result in a charge equivalent to %50 of the session fee.
Missed appointments will result in a charge of %100 of the session fee.
-
Cancellations made with less than 24 hours’ notice are considered late cancellations. In such cases, your provider will charge 50% of the session fee, which is due on the day of the originally scheduled appointment.
Once payment is received, an e-receipt will be emailed to you and will also be available through your client portal.
Please be aware that most insurance providers and third-party payers do not cover fees for late cancellations, and this cost will be your personal responsibility.
-
If you do not attend your session and have not cancelled in advance, it will be considered a missed appointment. If you are more than 15 minutes late without prior notice, the session will be marked as missed, and you will be charged 100% of the session fee.
This fee is due on the same day as the originally scheduled appointment. Once payment is received, an e-receipt will be emailed to you and will also be available through your client portal.
Please note that most insurance providers and third-party payers do not cover missed appointment fees, and this charge will be your personal responsibility.
-
In the event of an emergency with less than 24 hours’ notice, exceptions to the cancellation policy may be made. If you are experiencing a medical emergency, the cancellation fee will be waived—as long as you notify your provider. Communication is essential in these situations.
In alignment with Lifeline for the Frontline's policies, your provider will also make every effort to give at least 24 hours’ notice if they need to cancel or reschedule your appointment. While emergencies can happen on both sides, your provider is committed to notifying you as promptly as possible in such cases.
Insurance-Related Information
We have compiled other relevant information related to therapy below. If you still have questions, we welcome you to get in touch with us!

If you have private health insurance, we recommend contacting your provider before your first session to confirm what your plan covers. You can also review your extended benefits to see if counselling services are included under a Registered Social Worker (RSW) with a Master of Social Work (MSW) or a Registered Psychotherapist (RP) with a Master of Counselling Psychology (MACP).
Your insurer may request confirmation that your therapist is registered. You can verify registration through the appropriate professional bodies:
Ontario College of Social Workers and Social Service Workers (OCSWSSW): www.ocswssw.org/members/online-register
College of Registered Psychotherapists of Ontario (CRPO): www.crpo.ca
-
We offer direct billing with BlueCross/Blueshield and Veterans Affairs, and Non-Insured Health Benefits (NIHB). Should you have a different insurance provider you can submit your electronic receipt to your provider for reimbursement as long as your benefits approve a Registered Social Worker (RSW) or Registered Psychotherapist (RP)
-
If you’re not covered for therapy through student benefits or an extended health care plan, you may still be able to claim your sessions as a medical expense on your taxes. After each appointment, you’ll receive a registered receipt by email with all the details required for tax purposes.
For more information on eligible medical expenses, visit the Canada Revenue Agency (CRA) website.
